What Should Go on a Business Card Besides Name and Phone

A handful of additions cover most of what a card is missing once the basics are in place.

• Job title, so a contact knows your role before they even open a conversation
• Company name and logo, for instant brand recognition when the card resurfaces later
• Email address, since it’s often the first thing someone reaches for even after a phone call
• Website or a single relevant URL, like a portfolio or booking page
• A QR code linking to a digital contact card or LinkedIn profile, for people who’d rather save it straight to their phone

Why the Basics Alone Fall Short

Name and phone number answer the most basic question a card can ask, but they leave out everything that makes someone want to make the call. A title tells a prospect whether they’re reaching the right person for the job, a logo triggers recognition the next time they see it on a truck or a storefront, and an email address covers the reality that most follow-up happens over email rather than a phone call these days. According to essential elements guidance aimed at professionals building their first card, leaving off a title or company name is one of the most common mistakes, since it forces the recipient to guess at context the card should have provided. College career centers see the same pattern: one career center guide recommends including at minimum a name, professional title, and a reliable email address before anything else, even for a first card.

A Few Extras Worth Considering

Social handles are worth adding only when the platform is where business actually happens, a LinkedIn URL fits almost any professional card, while a personal Instagram handle usually doesn’t belong on one meant for new clients. A short tagline helps when a job title alone doesn’t explain what the company does, “account manager” at an unfamiliar company benefits from a line of context more than a bare title would. Fox Business’s networking advice for young professionals also points out that a QR code linking to a digital profile or portfolio gives recipients a way to save your information without manually typing anything in, which increases the odds they actually follow up.

Formatting Matters as Much as Content

A business card with six pieces of information crammed onto a 3.5 by 2 inch card is harder to read than one with four, laid out with enough white space to breathe. SCORE’s print marketing basics guide recommends sticking to a consistent font and brand colors across a card, brochure, and any other printed material so everything looks like it came from the same company. One university’s formatting tips for students echo the same advice: prioritize the essentials, keep the type large enough to read at arm’s length, and resist the urge to fit everything you might ever want someone to know onto a single card.

What to Include vs. What to Skip

Why Choose Sundance Office

A business card is only as good as the print quality behind it, faded colors or a blurry logo undercut even the best layout. Sundance Office’s in-house design team can build a card from scratch or clean up an existing logo file before it goes to press, and every order gets a digital proof before printing so you catch a typo or a color mismatch before hundreds of cards come back wrong. Our Pantone color matching keeps your brand color consistent across a business card, a brochure, and signage printed months apart, which matters more than most people expect once a logo starts showing up on multiple materials. Because we handle custom printing alongside promotional products, a new card order can go out alongside branded giveaways or signage for the same event without coordinating two separate vendors.

Conclusion

Name and phone number are the bare minimum, a title, company name, email, and a clear way to connect online turn a card from a reminder into an actual next step. Keep the layout simple enough to read in a few seconds, and save extras like a QR code or tagline for when they add real information instead of just filling space. If you’re handing out cards at an upcoming event, our events guide covers a few other ways to stand out at a trade show table, or reach out and we’ll get a proof in front of you this week.

Frequently Asked Questions

Is it unprofessional to leave off your address?

Not anymore for most businesses. A physical address made more sense when mail and walk-in visits were the main way clients reached a company, but today it’s optional unless your business relies on foot traffic or in-person visits. A phone number, email, and website generally cover what most contacts need.

Should I put my picture on my business card?

It depends on the industry. Real estate agents, insurance agents, and other client-facing roles that rely on personal recognition often benefit from a photo, since it helps a client match a name to a face later. For most other professions, a photo isn’t necessary and a clean logo-and-text layout works just as well.

What size should a business card be?

The standard size in the United States is 3.5 by 2 inches, and most wallets and card holders are sized around that dimension. Non-standard sizes can look distinctive, but they’re worth double-checking against the recipient’s wallet or card case, since an oversized card is more likely to get bent or thrown out.

Should a business card include social media?

Only if the platform is actually where you do business. A LinkedIn URL makes sense for nearly any professional, while personal social accounts usually don’t belong on a card meant for new clients or vendors. When in doubt, one professional link is better than several that dilute the design.

Do I need a QR code on my business card?

It’s optional but useful, especially if it links to a digital contact card, portfolio, or booking page. A QR code works best as an addition to the essentials rather than a replacement for them, since not everyone will scan it on the spot. It should also be tested to make sure it scans cleanly once printed.

The short answer is that printers need a vector file, typically saved as .AI, .EPS, .PDF, or .SVG, rather than a raster file like a .JPG or .PNG. The difference between those two file types is the single biggest factor in whether your logo prints crisp or blurry, no matter what it’s going on, a business card, a banner, or a custom printed give-away.

Vector vs. raster, in plain terms

A raster file, like a JPG or PNG, is made of a fixed grid of pixels. That works fine on a screen, but stretch it larger than its original size and those pixels become visible, which is what causes the blurry or jagged look on an enlarged logo. A vector file, by contrast, is built from mathematical points and curves rather than pixels, so it can scale up to a billboard or down to a pen without losing a single bit of sharpness.

The formats printers actually ask for

AI (Adobe Illustrator) is the native, fully editable master file most designers work in, and it’s the gold standard if your printer or promotional product company can accept it directly.

EPS (Encapsulated PostScript) is a universal vector format that nearly any design software or printer can open, making it a safe choice when you’re not sure what software the print shop uses.

PDF is often the easiest format to hand off, but only if it was exported from a vector-based program like Illustrator. A PDF created by scanning a printed logo or saving a Word document is not a true vector file, even though it carries the same file extension.

PNG and JPG are raster formats that work well for websites, email signatures, and social media, but they are the weakest choice for anything going to a commercial printer, especially at larger sizes.

Just as the table shows, AI, EPS, and true vector PDFs are the formats built for print, while PNG and JPG belong on screens, not on a print order form.

Why Choose Sundance Office

Every custom print order that comes through our shop gets reviewed by a real person before it goes to press, not just auto-approved because a file uploaded successfully. That step is what catches a raster logo before it becomes a blurry banner rather than after. If a client hands us a JPG version of their logo, our graphic design team can often clean it up or work with what’s available at no extra design charge, so a missing vector file doesn’t have to delay a Broken Arrow business’s print order or drive up the cost of a reprint.

• Business cards and letterhead needing a crisp, scalable logo
• Large-format banners and signage where pixelation is most visible
• Promotional products like pens, apparel, and drinkware with small print areas
• Vehicle graphics and trade show materials viewed up close and from a distance

Getting the right file format up front is the single easiest way to avoid a reprint on any custom print job. As a simple rule of thumb, if your only version of your logo came from your website or a screenshot, assume it’s raster and ask your designer or printer about a vector version before placing a large order. Businesses across Broken Arrow and the Tulsa area save both time and money by sorting this out before the print run rather than after a proof comes back blurry, and our printing team is glad to check a file for you either way.

Frequently Asked Questions

What’s the difference between a vector and raster logo file?

A raster file is made of a fixed grid of pixels and loses quality when enlarged, while a vector file is built from mathematical curves and can scale to any size without any loss of sharpness.

Can a printer use my logo if I only have a JPG?

Sometimes, especially for small print areas, but a JPG will look increasingly blurry the larger it’s printed, so for banners, signage, or anything over a few inches wide, a vector version is strongly recommended.

Is a PDF always a vector file?

No. A PDF exported from a vector program like Illustrator is a true vector file, but a PDF created by scanning a printed logo or saving from Word is essentially a raster image wrapped in a PDF, and it will not scale cleanly.

What resolution does a logo need to be for printing?

If you’re using a raster file, 300 DPI at the final print size is the standard minimum, but this concern disappears entirely if you provide a true vector file, since vectors have no fixed resolution.

Where can I find my logo’s vector file if I don’t have one?

Check with whoever originally designed your logo, since most designers provide a full file package including AI or EPS files. If that’s not available, a designer can redraw a JPG or PNG as a clean vector file.

Why should I give away branded freebies?

A recent study by the Advertising Specialty Institute finds that promotional products are the most high-impact, cost-effective advertising medium around for their clients. The findings in this study are based on thousands of in-person and online surveys taken by consumers in the U.S., Canada, Mexico and parts of Europe. This survey answers questions about promotional products’ reach, consumers’ perceptions of them and how branded products influence buying decisions and products’ impact on consumer opinions of the advertiser.

U.S. consumers were asked which promo products they currently owned. Promotional items are defined as items that have an advertiser’s logo and/or message on them, that are usually given away for free by companies to consumers.

Promotional pens and drinkware are widely owned by consumers across the United States, nearly 9 in 10 consumers report owning each. In fact, most categories of promotional products are owned by more than half of consumers!

The study also reveals some interesting information about impressions made by each product. The number of impressions a product makes was derived from multiplying how long a recipient has the product by how many people they come in contact when using it by the frequency of its usage. In the U.S., outerwear generates the most impressions (6,100) of any item measured in the study. This is because outerwear is often worn in public places where it can be seen by many people. Other items that deliver a large number of impressions are headwear, T-shirts, bags and writing instruments.

Promo products are the most highly regarded form of advertising, beating out traditional standbys like newspaper, magazine, internet, radio & television advertising. Consumers are about 2.5x more likely to favor promo products over internet advertising. Surveyers also asked respondents how many promotional products they owned. The results indicate the average household in the United States owns 30 promo items! Talk about reach! You can read the full study here.

Preparing print ready artwork to be used on printed materials and promotional products can be confusing.  We can help you get your files ready for print, convert your current artwork to a vector file, or even create artwork for you.*

In this series of blog posts, we will explain what type of artwork is needed and why to help you understand a little more about the printing process.

First, there are many different types of printing processes and each process requires a certain type of artwork.  For this post, we will discuss only one type of printing.

The type of printing (for example, screen printing) used for most promotional products like t-shirts, hats, cups, large signs, or any other non-paper product requires a vector to be considered print ready artwork.  Embroidered items also generally require a vector file.  If you have vector artwork already, great!  If not, we can help you.

What is a vector file?

A vector is a type of file that can be expanded to any size without becoming pixelated or blurred.  Here is an example of a vector file compared with a raster file:

How do I know if my file is a raster or a vector?

First, where did you get the file?  If it came from a webpage or social media, it is most likely not a vector.  Next, look at the file extension (the letters after the period in the name of the file.)  If it is .ai, .eps or .pdf it could possibly be a vector.  If it is a .jpg, .doc, .png, .gif, or .bmp it is not a vector file.

If it is an .ai, .eps, or .pdf, it could still be a raster file.  Confused yet?  Don’t worry.  If you are ordering promotional products, simply send us your file and we can let you know what type of file it is.

I still don’t understand.  Why won’t my picture from the internet work for printing?

Most printing methods only use vector files.  Furthermore, even if they did use other file types, the printing would look terrible.  We don’t want to sell you something that doesn’t look absolutely amazing!

What do I do if I don’t have a vector file of my logo?

Ask your marketing department if they have a vector file, or contact the graphic designer who created your logo for the vector file.

If no vector is available, we can re-create a vector file for you in most cases.  Please note that this is a manual process that can take a lot of time depending on the artwork.  We will let you know how long it will take and if there will be a charge for this service.

Can’t I just save my file as a .ai or .eps to make it a vector?

Unfortunately, no.  It will still not be a vector and will not be print ready artwork.

None of this makes any sense.  How do I get print ready artwork when I don’t understand any of this?

No worries!  Give us a call at 918-252-4100

*there may be an artwork fee depending on the amount of work involved.  We will provide an estimate before beginning any work if a fee is involved.
